The student visa for Malta has a statutory minimum term of 9 weeks before the start of the course to be submitted. But the full process, from enrollment to obtaining a passport with a visa, can take from 4 to 6 months. Those who start too late face unfeasible dates, busy schedules at the VFS, and the risk of missing the start of the course.

In this article, you will understand each stage of the process with the actual deadlines applied in 2026, the difference between the types of service in the VFS and what may delay approval. If you're still comparing destinations and periods, see also When to do an exchange in Malta to choose the best time before starting the visa process.

What is the minimum time limit required to apply for a Malta visa?

Identità Malta defines that applications for a long-term student visa (D-Visa) must be submitted to VFS Global with a minimum 9 weeks in advance in relation to the start date of the course. That is the minimum time period. In practice, it's not the ideal time frame.

The average processing time after scheduling in the VFS is 8 to 10 weeks. In periods of high demand, it may exceed this range. If you submit the documents just 9 weeks in advance, the visa may arrive after the start of the course, or not arrive on time.

Practical recommendation: start the process at least 5 months in advance. This allows room to gather documents, correct any pending issues and wait for processing without compromising the shipment date.

To understand when a visa is required according to the duration of the course, see the article on When do you need a visa to study in Malta.

What is the ideal visa schedule, step by step?

Below is the visual summary of the schedule and, below, the details of each stage:

Stage 1: Enrollment and payment (5 to 6 months in advance)

The visa process only begins after confirmed enrollment and the minimum payment required by the school. Identità Malta recommends that schools require initial payment to lend credibility to the request. Without this payment, the school does not issue the letter of invitation and the appointment at the VFS cannot be made.

General payment rule before visa documents are issued:

Total course up to a certain amount: full payment required

Total course over this amount: at least 50% of the total amount

Step 2: Scheduling at the VFS (up to 6 months in advance)

Scheduling on the VFS can be done with up to 6 months in advance in relation to the start of the course. The sooner the appointment is made, the more date options will be available.

There are two types of service in VFS:

Standard Service: Scheduling can only be made 21 days after the request to the school

Extended Service: The appointment can be made on the same day of the request

Once confirmed, the schedule cannot be changed or canceled. The VFS fee is non-refundable.

Step 3: Preparation of documents (3 to 4 months in advance)

With the schedule confirmed, the race for documents begins. Each item has its own expiration date and format criteria. The main categories are: passport, medical insurance, travel itinerary, proof of accommodation, and financial documentation.

O complete checklist of documents for the Malta visa details each item with the specifications required by Identità Malta. The most critical point in terms of the deadline is the bank statement: it cannot be more than 30 days of issue on the appointment date at the VFS.

Stage 4: Conference by the school (at least 2 weeks before the VFS)

If you opted for the school's document verification service, all documents must be submitted with a minimum 2 weeks in advance in relation to the appointment date. The school reviews, indicates pending issues and, after approval, issues the official letter of invitation.

Failure to submit the documents within this deadline means not having the letter of invitation in time for scheduling, which makes it impossible to submit to the VFS.

Step 5: Attendance at the VFS and submission of documents

On the appointment date, the student goes to the VFS center with all the original documents and passport. At this point, biometrics are collected. The documents are then sent to Identità Malta for review.

In some countries, the submission can be made online without attending the VFS in person. See more about that in the next section.

Step 6: Passport processing and withdrawal (8 to 10 weeks)

After submission, the average processing time is 8 to 10 weeks. During this period, the student may be invited for an interview by Identità Malta, which will be communicated by e-mail with a date and time.

When the visa is issued, the VFS informs the student about the withdrawal of the passport or sending it by courier.

Standard service or extended service in VFS: which one to choose?

The difference between the two services goes beyond the scheduling deadline:

Standard Service: scheduling available starting at 21 days. Suitable for those who are organizing the process well in advance

Extended Service: same-day scheduling available. Suitable for those with the tightest schedule

In both cases, there is an additional fee charged directly by the VFS center on the day of attendance, which varies depending on the services chosen at the counter.

Important: the amount paid for the visa service is non-refundable. If the visa is denied, the fees are not refunded. Therefore, ensuring that the documentation is complete before scheduling is essential.

Is online submission through VFS available for your country?

VFS Global offers an online submission service for students from some countries who do not reside near a physical VFS center. Currently eligible countries:

• Argentina

• Brazil

• Canada

• Chile

• Colombia

• United States

• Japan

• Venezuela

Attention to the criteria: the online service is exclusive for those who live in cities with no nearby VFS center. If the student lives in a city with VFS available, such as São Paulo, face-to-face service is mandatory.

The online process also requires a biometric passport and adds 1 to 2 weeks to the total processing time, as physical documents have to be sent by courier.

What could delay your process beyond what is expected?

Knowing the factors that cause delay helps you to anticipate. Here are the most common ones:

Bank documents issued ahead of time: The bank statement older than 30 days on the date of the VFS invalidates the financial proof

Cancelled appointments: once scheduled, the schedule in the VFS cannot be changed. Canceling it means losing the rate and restarting the schedule from scratch

Documents without official translation: any non-English document without translation by an approved translator may be refused analysis

Late letter of invitation: if the documents were not sent to the school 2 weeks in advance, the letter of invitation is not issued on time

High demand on the VFS: In certain periods, the schedules at the VFS are filled up weeks in advance

To understand the impact of a failed process, see the article on The new rules for student visas in Malta and how recent updates affect documentation. See also the guide for first steps in Malta for exchange students to organize arrival while the visa is being processed.

How to organize financial documentation on time?

Financial proof is the item with the most critical deadline of all. The bank statement must be issued no more than 30 days before booking at the VFS and, at the same time, reflect the required balance based on the type of accommodation chosen.

Issuing the statement too soon is one of the most common mistakes. If the appointment is scheduled for 45 days from now, the statement should only be requested from the bank 30 days before that date.

The calculation of the amount to prove depends on the type of accommodation and the number of course days. Understand this calculation in detail in the article about How to calculate financial proof for a Malta visa.

FAQ: Frequently Asked Questions About Malta Visa Deadlines

1. Can I apply for a visa less than 9 weeks in advance?

No. The minimum deadline of 9 weeks before the start of the course is a requirement of Identita Malta. Requests after this deadline may be declined due to schedule irregularity.

2. Can the VFS reschedule my appointment if I request it?

No. Once confirmed, the VFS schedule cannot be changed or canceled. Therefore, only confirm the date when all documents are in the final stages of preparation.

3. What happens if the processing is longer than 10 weeks?

The student awaits. There is no legal response deadline guaranteed by the consulate. If the start of the course approaches without an answer, the school can be called upon to provide support with Identita Malta.

4. Can I enter Malta while waiting for a visa?

For courses of up to 12 weeks, yes, using the Schengen Zone 90-day exemption. For courses of 15 weeks or more, a long stay visa (D-Visa) must be issued prior to travel.

5. If I use the online submission service, does the processing deadline change?

Yes. The online process adds 1 to 2 weeks to the total time, as physical documents need to be sent by courier to the VFS before analysis by Identita Malta.
